This Privacy Policy is compliant with India's Digital Personal Data Protection (DPDP) Act, 2023. By using AdmissionIQ, institutes ("Data Fiduciaries") and individual users agree to the practices described in this policy.
Who We Are
SASTAVA GROWTH SYSTEM PRIVATE LIMITED ("SASTAVA", "we", "us", or "our") operates AdmissionIQ, an admissions and enrolment intelligence platform. Our registered business operates in Tamil Nadu, India.
For the purposes of the DPDP Act 2023, SASTAVA is the Data Fiduciary for the account data of the institutes that subscribe to AdmissionIQ. For the enquiry and parent data an institute collects and enters into the platform, the institute is the Data Fiduciary and SASTAVA acts only as a Data Processor on that institute's instructions.

Data We Collect
We collect only the minimum personal data necessary to deliver the AdmissionIQ service. The categories below outline what we collect, from whom, and why.
| Category | Data Points | Source |
|---|---|---|
| Institute Account Data | Institute name, address, board affiliation, principal/admin name, official email, phone number, logo | Institute admin during onboarding |
| Enquiry / Parent Data | Parent name, phone number, email, student name, grade of interest, enquiry date, source channel, notes | Institute staff entering data; or parent via enquiry form |
| Usage & Platform Data | Login timestamps, features accessed, follow-up actions taken, device type, browser, IP address | Automatically collected via platform activity |
| Communication Data | Support messages, feedback submitted, email correspondence with SASTAVA | User-initiated communications |
| Payment Data | Billing contact, invoice details, subscription plan. We do not store card or bank details — payments are processed by our payment gateway partner. | Institute admin during subscription |
AdmissionIQ is designed for admissions and enrolment management. Please do not enter sensitive personal information beyond what is required for admissions tracking — such as student medical records, caste, religion, or financial details of families.
How We Use Your Data
We use the personal data we collect for the following specific purposes:
| Purpose | Description |
|---|---|
| Service Delivery | To operate the AdmissionIQ platform — tracking enquiries, follow-ups, admissions pipeline, and reporting for institutes. |
| Account Management | To create and manage institute accounts, authenticate users, and maintain subscription plans. |
| Communications | To send service notifications, reminders, billing invoices, and product updates. You can opt out of non-essential communications at any time. |
| Product Improvement | To analyse aggregate, anonymised usage patterns to improve AdmissionIQ features. We never sell individual data for this purpose. |
| Legal & Compliance | To comply with applicable laws, respond to lawful requests from government authorities, or enforce our Terms of Service. |
| Support | To respond to queries, troubleshoot issues, and provide customer assistance. |
We do not use your data for targeted advertising, sell it to third parties, or use it for automated profiling that has legal or significant effects on individuals.
Legal Basis for Processing
Under the Digital Personal Data Protection Act, 2023 (DPDP Act), we rely on the following grounds for processing personal data:
| Basis | When We Rely on It |
|---|---|
| Consent | When parents or individuals submit their details via enquiry forms, or when institute users register on the platform. Consent is obtained through a clear affirmative action and can be withdrawn at any time. |
| Contractual Necessity | When processing is necessary to deliver AdmissionIQ services under a subscription agreement with an institute. |
| Legitimate Uses (State/Legal) | When required by applicable law, court order, or government directive. |
Institutes using AdmissionIQ are themselves Data Fiduciaries for the enquiry/parent data they collect and enter into the platform. SASTAVA acts as a Data Processor on their behalf. Institutes should ensure they have appropriate notices and consents in place when collecting parent and student information.
Sharing & Disclosure
We do not sell personal data. We share data only in the following limited circumstances:
| Recipient | Purpose | Safeguards |
|---|---|---|
| Supabase | Hosting the platform database, user authentication, and file storage | Data processing agreement in place; data encrypted in transit and at rest; tenant access restricted by row-level security |
| Vercel | Application hosting, serverless API functions, and cookie-free page-visit analytics | Data processing agreement in place; the analytics script sets no cookies and collects no personal identifiers |
| Resend | Delivering transactional email such as sign-in codes, account notices and reminders | Data processing agreement in place; receives only the recipient address and the message content, retained no longer than needed for delivery |
| Razorpay | Processing subscription payments and recurring payment mandates | PCI-DSS compliant and RBI-authorised. We share only billing contact and plan details. Card, UPI and bank credentials are entered directly with Razorpay and are never seen or stored by SASTAVA |
| Meta Platforms (WhatsApp Business API) | Delivering WhatsApp messages that an institute sends to an enquirer from within AdmissionIQ | Used only when an institute has configured its own WhatsApp Business account. Receives the recipient mobile number and the message text. Not used unless the institute enables it |
| Google (Gemini API) | Powering the website assistant that answers visitor questions | Receives the conversation text a visitor types. The request is proxied by our server so no key or account identifier is exposed. Not used inside the institute application |
| Law Enforcement / Government | When required by law or a valid legal order | We will notify users where legally permitted to do so |
All third-party service providers listed above are bound by contractual obligations to process data only as instructed by SASTAVA and to maintain adequate security standards. Some of these providers operate infrastructure outside India; where that is the case, transfers are made in accordance with Section 16 of the Digital Personal Data Protection Act, 2023.
This list is current as of the date shown at the top of this policy. We will update it here if we add or replace a service provider that processes personal data.
Data Retention
We retain personal data only for as long as necessary to fulfil the purposes described in this policy, unless a longer period is required or permitted by law.
| Data Type | Retention Period |
|---|---|
| Institute account & user data | Duration of active subscription. Erased or anonymised within 30 days of termination, except billing records held under the statutory period below |
| Enquiry / Parent data | Duration of institute subscription; deleted within 30 days of account closure on request |
| Platform activity log | Retained for the duration of the subscription in our database, and erased with the account |
| Support communications | 24 months from last interaction |
| Billing records | 7 years (statutory requirement under Indian accounting laws) |
| Anonymised analytics | Indefinitely (no personal identifiers retained) |
Upon account deletion or termination of a subscription, we will erase or anonymise personal data within 30 days, except where retention is required by law.
Security
We take the security of personal data seriously and implement appropriate technical and organisational measures, including:
Encryption: All data is encrypted in transit using TLS 1.2+, and the database is encrypted at rest by our hosting provider.
Access Controls: Role-based access controls ensure that institute users can only access their own institute's data. Admin access to production systems is restricted and logged.
Authentication: Secure login with managed sessions and password-based authentication. Each institute's users can access only their own institute's data.
Infrastructure: Hosted on ISO 27001-certified cloud infrastructure with automated backups and monitoring.
Incident Response: In the event of a personal data breach that is likely to result in harm to Data Principals, we will notify the affected parties and the Data Protection Board of India within the timelines prescribed under the DPDP Act 2023.
No system is completely immune to security risks. We encourage institutes to use strong passwords, keep login credentials confidential, and report any suspicious activity to us immediately at connect@sastava.in.
Your Rights
Under the DPDP Act 2023, Data Principals (individuals whose data is processed) have the following rights. A subscribing institute, or one of its users, may exercise these rights with us at connect@sastava.in. If you are a parent, guardian or learner whose enquiry an institute holds, that institute is the Data Fiduciary for the record: exercise these rights with the institute directly. It can correct or erase the record itself.
We aim to respond to rights requests within 30 days. In complex cases, we may extend this by an additional 30 days and will notify you accordingly.
Children's Data
AdmissionIQ is a B2B platform used by institutes to manage their admissions process. In this context, student names and grade preferences may be entered by institute staff as part of enquiry tracking. This information is treated as the most sensitive category of data on our platform.
We do not knowingly collect personal data directly from children under the age of 18. Institutes are responsible for ensuring they have appropriate parental consent before entering student information into AdmissionIQ.
Where an institute uses the AdmissionIQ public enquiry form, that form is hosted by SASTAVA and is completed by the parent or guardian rather than by institute staff. Before it can be submitted, the person completing it must confirm that they are the child's parent or legal guardian and that they agree to the details being shared with the institute. The form states what is collected, who receives it, and how to withdraw consent or request removal. SASTAVA stores those details on the institute's behalf; the institute remains the entity responsible for the admissions decision and for its own consent records.
Under the DPDP Act 2023, processing of children's personal data requires verifiable parental consent. Institutes using AdmissionIQ to track student enquiries must obtain and maintain such consent independently. SASTAVA provides the technical platform but is not responsible for obtaining consent from parents on behalf of institutes.
Cookies & Tracking
AdmissionIQ does not set any cookies of its own. The platform uses your browser's local storage to keep you signed in and to remember your settings, and a privacy-friendly analytics script that measures page visits without cookies and without identifying individual visitors.
| What we store | Purpose | Where it lives |
|---|---|---|
| Session | Keeps you signed in and maintains your session state | Your browser's local storage. Cleared when you sign out |
| Preferences | Remembers your settings, such as the active institute and selected view | Your browser's local storage, until you clear it |
| Working copy of your enquiry data | Keeps the enquiry records you are working on available on this device, so the application still shows your data if the network drops mid-session. This includes enquirer names, phone numbers and notes | Your browser's local storage. Cleared when you sign out or clear your browser data |
| Assistant conversation | Holds the current website assistant conversation, and any name or number you give it, so the chat survives a page change | Your browser's local storage, until you clear it |
| Analytics | Anonymised page-visit counts. No cookies, no personal identifiers, no cross-site tracking | Held by Vercel, our analytics provider, not on your device |
We do not use advertising cookies, cross-site tracking, or third-party marketing pixels. Clearing your browser's local storage will sign you out and reset your saved preferences, but will not otherwise affect your use of AdmissionIQ.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, or data practices. When we make material changes, we will:
• Notify registered institute admins by email at least 14 days before the change takes effect.
• Display a prominent notice within the AdmissionIQ platform.
• Update the "Last Updated" date at the top of this page.
Your continued use of AdmissionIQ after the effective date of a revised policy constitutes your acceptance of the changes. If you do not agree with the revised policy, you may terminate your subscription in accordance with our Terms of Service.
Contact & Grievance Officer
Grievances about AdmissionIQ itself, raised by a subscribing institute or one of its users, go to our designated Grievance Officer as required under the DPDP Act 2023. If you are a parent, guardian or learner and your concern is about an enquiry an institute holds, that institute is the Data Fiduciary and is the right place to raise it.
